HubSpot email signature generator

HubSpot email signature generator: how it works, and a free alternative.

HubSpot's email signature generator is a free web tool: you fill in a form and it hands you HTML you paste into Gmail, Outlook or Apple Mail. It's one of the free marketing tools HubSpot publishes alongside their CRM. Below: an honest look at what it is, what it does well, where it stops, and a free alternative that skips the signup and previews every template live before you copy.

What HubSpot's generator actually is

Five things worth knowing before you commit to it. These are the mechanics of the tool itself; nothing here is a criticism of HubSpot's paid products.

It's a form, not an editor

You fill in fields (name, title, company, phone, address, photo URL, social links, CTA) and HubSpot renders a signature. There is no live drag-and-drop editor or per-element styling, and the template you started on is the template you end on.

You host your own images

Photo and logo fields ask for a public image URL. If you paste a Google Drive or Dropbox link that's private, recipients see a broken-image icon. Working around this means uploading somewhere with a stable public URL yourself.

Six templates, form-locked

The choice is between a fixed set of six layouts. Fine for a solo consultant; visibly generic once several teammates run the same one.

One-off, not a system

There is no team dashboard, install tracking, per-teammate personalization, or admin. Once you paste, HubSpot has no further role in the signature. Changes mean each teammate re-generating and re-pasting on their own.

Email capture at the download step

Downloading the HTML asks for an email address; HubSpot then follows up with product marketing. That's the honest trade for the tool being free.

When HubSpot's generator is genuinely the right pick

  • You're one person and want a signature in five minutes.
  • You're happy hosting your photo on a public URL yourself.
  • You don't mind an occasional HubSpot marketing email.
  • You don't plan to change your signature or run a banner campaign later.

If all four apply, HubSpot's tool is a fine five-minute solution. Nothing below is trying to talk you out of it.

Wren: the same job, no signup, more templates

Wren's free generator is the same shape (fill in your details, copy HTML, paste into Gmail or Outlook) with three differences that matter if the HubSpot form didn't quite fit: no email required to copy, 40 live-rendered templates instead of six, and Wren hosts your photo and logo on stable URLs so images don't break for recipients. Later, if a teammate needs the same design, a shared team plan is one click away, it's not required to use the free generator.

Wren
HubSpot generator
What it is
A team product: shared design system, hosted assets, install tracking, live-swappable banner. Also a free single-user tier.
A free lead-gen tool. Fill in a form, get HTML, paste it into your mail client. Designed as a top-of-funnel entry point to HubSpot's marketing suite.
Templates
20 designer Looks with a coherent grammar, live-edited in a studio with an accurate Gmail / Outlook / Apple Mail preview.
6 basic templates. Fine for a solo consultant; visibly generic once several teammates run the same one.
Banner behaviour
Hosted image URL is stable. Change the image and every teammate's signature updates on the next send, no re-paste.
Banner URL is hard-coded into the exported HTML. Changing the banner means every teammate re-generates and re-pastes.
Photos and logos
Hosted on Wren's own infrastructure. You upload once, we optimise it, and it renders crisply in every mail client.
You provide a public image URL yourself. If it's on Dropbox or Google Drive with restricted access, it renders as a broken image for recipients.
Team features
Owner dashboard, install tracking, one-click resend of install links, per-teammate personalisation with a locked brand shell.
None. It's a one-off generator; there's no concept of a team or a central admin.
Analytics
Per-banner click counts across the team, so you can see whether the launch banner actually did anything.
None baked in. You'd wire your own UTMs and track in your analytics tool.
Price
Free for 1 person. $99/mo flat for a team up to 50, $199/mo up to 100.
Free forever. There's no paid tier because the product is a lead capture, not a business.
Best for
Any team of 5+, or a solo user who wants a great-looking signature and to run a banner campaign that actually stays current.
A single freelancer or consultant who wants a serviceable signature in 5 minutes and is happy with a HubSpot marketing email or two in exchange.

Three moments HubSpot's generator tends to stop being enough

The second hire

Two signatures to keep in sync. In practice, they drift within a month: different photos, different phone formatting, one has a title update the other doesn't.

The first banner

You add a banner image URL and everyone pastes. Two weeks later the launch is over. Swapping the banner means every teammate re-generates and re-pastes; most never do.

The broken photo

Someone used a Google Drive link for their headshot. Six months later they tidy their Drive; every recipient starts seeing a red X where their face used to be.

Design one for free. No HubSpot signup needed.
