How to add a signature in Gmail
Works the same in Chrome, Safari, Edge and Firefox.
- 1
Open Settings
In Gmail, click the gear icon (top-right) and choose See all settings. - 2
Scroll to the Signature section
Stay on the General tab and scroll about two-thirds of the way down until you see Signature. - 3
Create a new signature
Click + Create new, name it (e.g. "Main"), and click Create. A rich-text editor appears. - 4
Paste your signature into the box
Click into the editor and paste with Cmd+V or Ctrl+V. Don't have one yet? Pick a free signature from Wren's gallery. Open the free generator. - 5
Set defaults for new mail and replies
Under Signature defaults, pick your signature in the FOR NEW EMAILS USE and ON REPLY/FORWARD USE dropdowns. - 6
Save Changes
Scroll to the bottom and click Save Changes. Send yourself a test to verify.
Menu names occasionally move — look for Settings → Signature.
Multiple signatures and send-as aliases
Gmail supports multiple signatures per account and can assign a signature to each send-as alias. The address dropdown appears next to each signature in the settings.
Different signature on replies
Create a shorter second signature (name, title, one link) and pick it in the ON REPLY/FORWARD USE dropdown, or leave it empty for no signature on replies at all.
Google Workspace: admins can set defaults
Admins can push signatures via App Script or a paid tool. Neither overrides what the user set locally unless an SMTP-level footer is used, which can look duplicated.
Formatting keeps breaking after paste
Paste into a fresh signature slot rather than editing an existing one. If a link picks up an unwanted underline or color, select it and clear formatting, then repaste that line from Wren.
